Role can be based in Sydney or elsewhere in NSW by negotiation, with flexible work options and hybrid arrangements available. Clerk Grade 5/6, salary relative to experience, and ranges from $99,938 - $110,271 + super. About the Role This role provides dedicated executive and administrative support to the Executive Director Programs, Grants & Partnerships (PG&P), ensuring the smooth coordination of priorities, information flow and decision-making. Responsibilities Deliver high-level executive and administrative support, including diary management, meeting coordination and correspondence Assess and prioritise incoming requests to optimise the Executive Director’s time and ensure key priorities are met Manage calendar, communications and records, including coordinating travel and supporting meetings Prepare, draft and review correspondence, briefings, agendas, minutes, presentations and reports Coordinate Senior Leadership Team meetings, including agenda preparation, minute taking and action tracking Provide background research and collate information to support informed decision-making and planning Undertake administrative tasks such as travel bookings, financial reconciliation and logistics support Maintain and improve administrative systems, processes and practices to support efficient service delivery Build and maintain effective working relationships to support information flow and coordination across the business About You You are highly organised, adaptable and able to manage competing priorities while providing consistent, high-quality support in a confidential environment. To be successful in this role, you will have: Demonstrated experience providing high-level executive or administrative support in a professional environment Strong organisational skills with the ability to manage multiple priorities and tight deadlines Proven ability to exercise discretion, judgement and maintain confidentiality Excellent written and verbal communication skills, with experience preparing executive documentation Strong attention to detail and the ability to ensure accuracy and timeliness in all outputs Ability to build effective working relationships with a range of internal and external stakeholders Proactive and solutions‑focused, with the ability to anticipate needs and streamline processes Knowledge and Experience Demonstrated experience providing high-quality executive support services in a professional and client‑focused manner.
