Role Overview: The Executive & Office Wrangler provides high-quality operational and administrative support to our team, enabling leaders to operate at peak effectiveness. This role goes well beyond diary management; it functions as an organisational hub: anticipating needs, managing information flow, coordinating logistics, and maintaining the rhythm of the team\'s work. The successful candidate will be a confident, highly organised professional with a track record of supporting multiple senior leaders simultaneously. The primary focus of your work will be assisting with the day-to-day operations of the business. With no two days the same, your duties will include, but are not limited to: Calendar and schedule management, including managing busy calendars for our CEO, Leadership Partners and wider team; Coordinate meetings end-to-end including scheduling, logistics, pre-reads, room bookings, and technology set-up; Organising travel and accommodation for our travelling team members and wider community partners; Managing the ByMany expenses process, including categorising and submitting expenses for the team, and coordinating internal process; Tracking and actioning invoicing for the team; Relationship and stakeholder management, with our ByMany team and community. Including day-to-day correspondence, and general connector. General administrative support, including preparing correspondence, reports, contracts and PowerPoints for the ByMany team. Be the go-to person for all things office-related. Including a general facilities and workplace coordination; keeping the office supplies fully stocked, maintaining equipment, ByMany mail and email management, keeping the office beautiful and welcoming – and most importantly helping to keep the plants alive (and thriving). Supplier management and inventory control, ensuring all supplies and vendors are exactly what we need for where we\'re at (we love local suppliers and small business’ where ever possible!). Serve as the primary contact for minor technology issues, resolving them swiftly or liaising with IT professionals for more complex problems. Ensure that all technological tools are operating smoothly to support uninterrupted productivity. Office compliance, making sure all requirements are up to date (health and safety, insurances, and anything else we might need), and helping us to stay across budgets. About you: You have 3 to 5 years experience in a similar role, we’d love someone with experience in small business; You love a process, and are more than happy to make suggestions on where we can improve our current systems; You are smart, motivated and willing to ‘muck-in’ where needed; You have outstanding written and verbal communication skills; You have a high attention to detail. We need to stress this one as we are not that good at it and the role requires this in bucketfuls; You are super curious, proactive, love asking questions and will be happy to challenge any of us in the business; You’re comfortable being under pressure at times, and understand that in a small business we sometimes all need to ‘get it done’ together; You are confident with IT and know your way around both PCs and Macs; You have an advanced level of Microsoft Office skills and flourish in Word, Excel, PowerPoint and Outlook; You are looking to work 5 days a week; You are kind and positive, and love connecting with people.
