New Rental is a Western Australian vehicle and equipment rental business supplying mine-spec, site-ready fleets to mining, civil and industrial clients. We're built on reliable assets, fast turnaround, and hands‑on service — and we're looking for an Administrator who takes ownership of the detail that keeps everything moving. About the role This position sits within the Administration and Coordinators team which carries responsibility for the full on-hire and off-hire workflow from end to end. The successful candidate will play a key role in ensuring every vehicle is processed accurately at each stage of the hire cycle, with operational reporting maintained to a consistently high standard. The role spans across database management, rental agreement processing, and purchase order flow — with a strong focus on ensuring all required documentation, compliance records, and client information are verified and in order prior to any vehicle leaving the yard. What you'll be doing Administration & compliance Maintain accurate records across all operational systems and asset registers. Prepare and process rental agreements, ensuring correct execution before vehicle release. Receive, confirm and cross‑reference client purchase orders against rental agreements. Obtain and verify client Certificates of Currency and ensure insurance requirements are met. Conduct and manage PPSR searches and registrations, maintaining all related records. Prepare admin requirements for vehicles going on hire. Upload photos, checklists and pre‑hire notes. Confirm documentation is complete before release. Update systems with on‑hire status. Conduct off‑hire inspections and capture evidence. Upload photos and inspection notes. Update systems with return status. Communicate outcomes to Fleet, Workshop, Accounts and Operations. Back‑charge management Record all back‑charges and supporting evidence. Prepare documentation for deposit deductions and invoicing. Maintain the back‑charge register and ensure accuracy. Who we're looking for Strong attention to detail and a process‑driven approach. Experience in rental, fleet, transport or a similar operational environment (preferred). Confident managing documentation and data entry across multiple systems. Clear communicator who can liaise across internal teams. #J-18808-Ljbffr
